તમે જે વ્યવસાયમાં કાર્યરત હો, તે વ્યવસાય નું જ્ઞાન અને આવડત તમારામાં હોવા અત્યંત જરૂરી છે. પરંતુ તે સાથે વ્યવસાયમાં સફળ થવા માટે તમારામા વિવેક, વિનમ્રતા, નિર્ણાયક શક્તિ, સમયપાલન વગેરે જેવા મૂળભૂત ગુણો પણ હોવા અત્યંત જરૂરી છે. સાથે સાથે તમારી કાર્ય કરવાની પદ્ધતિ પણ તમારી વ્યવસાયિક સફળતા માં મહત્વનો ભાગ ભજવે છે.

તમારી ફરજમાં આવતું દરેક કાર્ય, ખાસ કરીને બે બાબતો ઉપર આધાર રાખે છે. પહેલું, કાર્ય નું મહત્વ અને બીજું, કાર્યને અમલમાં મૂકવાનો સમય. આ બે મુદ્દા ઉપર વિચાર કરીને તમે કાર્યોની પ્રાથમિકતા ના ક્રમ પ્રમાણે કાર્યસૂચિ બનાવો તો તમારી કાર્ય કરવાની ઉત્પાદકતા વધી શકે. જો તમે કાર્ય નું મહત્વ કે તેની અગત્યતા અને તે કાર્યની સમયના સાપેક્ષમાં જરૂરિયાતને ધ્યાનમાં લઇ કાર્યોની પ્રાથમિકતા પ્રમાણે કાર્યસૂચિ બનાવી, તેને અમલમાં મૂકો, તો તમે અવશ્ય એક કાર્યકુશળ કે કાર્યદક્ષ વ્યક્તિ બની શકો. અને તમારા વ્યવસાયમાં તેમજ તમારા જીવનમાં સફળતા મેળવી શકો.

નીચેના કોઠામાં તમે જોઈ શકો છો, કે તેમાં બે કોલમ છે અને બે રો છે. બે કોલમ છે તે કાર્ય નો સમયના સાપેક્ષમાં તેની જરૂરિયાત બતાવે છે.

પહેલી કોલમ તાકીદના કાર્યો માટે છે, જે તાત્કાલિક થવું જોઈએ. જ્યારે બીજી કોલમ બિન તાકીદ કે અત્યારે બિનજરૂરી છે, જે અમુક સમય પછી પણ થઈ શકે તેવા કાર્યો માટે છે. કોઠામાં જે બે રો છે, તે કાર્ય નું મહત્વ કે તેની અગત્યતા કેટલી છે તે માટે છે. પેલી રો ખૂબ જ મહત્વના કાર્ય માટે છે. જ્યારે બીજી રો બિન મહત્વ કે ઓછા મહત્વના કાર્ય માટે છે. આમ બે કોલમ અને બે રો થી બનતા ચાર ખંડોમાં, તમે તમારી કાર્યસૂચિ ને વિભાજિત કરી તેની પ્રાથમિકતા નક્કી કરી શકો.

ખંડ-૧ માં કાર્ય મહત્વનું તથા ત્વરિત કરવાનું હોય તે મૂકી શકાય, જે તમારે હમણાં જ કરવાનું છે. દાખલા તરીકે તમારી કંપનીના ક્લાયન્ટએ તમને બધી માહિતી આપેલી છે. તેના ઉપરથી તમારે રિપોર્ટ તૈયાર કરવાનો છે. હવે તમારો ઉપરી અધિકારી તે રિપોર્ટ માટે તમને તાકીદ કરે છે. તો આ કટોકટીના સમયે, આ અગત્યનો રિપોર્ટ તમારે અન્ય કાર્યોની પહેલાં તૈયાર કરી તે તમારા ઉપરી અધિકારીને મોકલી આપવો, તે આ ખંડ -૧ માં આવે. આમ આ કાર્ય તાકીદનું અને અગત્યનું છે, તેથી હમણાં જ કરવું જોઈએ.

ખંડ-૨ માં, કાર્ય મહત્વનું હોય, પરંતુ તેની જરૂરત હમણાં ન હોય, તે આ ખંડ-૨ માં આવે. દાખલા તરીકે તમારે તમારી કારકિર્દીનું આયોજન કરવાનું છે. જે તમારા માટે અત્યંત મહત્વનું છે. પરંતુ તે હમણાં જ કરવું જરૂરી નથી. તેથી તે આ ખંડમાં આવે. આવું કાર્ય તમે બિન તાકીદ કાર્યસૂચિ માં મુકો. આમ આ કાર્ય તાકીદનું નથી પરંતુ અગત્યનું છે, તેથી તે કાર્ય મુલતવી રાખો.

ખંડ-૩, માં કાર્ય નું મહત્વ ઓછું હોય, પરંતુ તે ત્વરિત કરવું આવશ્યક હોય, તે આવી શકે. દાખલા તરીકે તમારી ટીમના સભ્યો આજે જમવા માટે રેસ્ટોરન્ટમાં ટેબલ આરક્ષિત કરવા માટે, તમે ઈ-મેલથી રેસ્ટોરન્ટમાં જણાવેલ છે. તેની કોપી તમે દરેક ટીમના સભ્યોને પણ મોકલેલ છે. તેમાંથી એક સભ્યએ તમને જણાવેલ કે તે ડાયાબેટિક છે. તેના ભોજનની વ્યવસ્થા કરવા માટે, ફરીથી તે સભ્યના ભોજનની સૂચિ રેસ્ટોરન્ટમાં મોકલવી પડશે. આ કાર્ય તમે તમારી ટીમ ના કોઈ સભ્યને સોપી શકો. આ કાર્ય ખંડ-૩ માં આવે. આમ આ કાર્ય તાકીદનું છે પરંતુ તમારા માટે અગત્યનું નથી, તેથી તે કાર્ય તમારા વિશ્વાસશુ કાર્યકરને હમણાં જ કરવા માટે આપો.

ખંડ-૪ માં, જે કાર્ય નું કોઇ મહત્ત્વ ન હોય, તેમજ તે કાર્ય પ્રારંભ કરવાની સમય મર્યાદા પણ ન હોય, તેવા કાર્યો આવી શકે. આવા કાર્યો ફરજ બજાવવામાં જરૂરી એકાગ્રતા ભંગ કરાવે છે. દાખલા તરીકે તમે ફરજ ઉપર છો, ત્યારે કોઈ અજાણી વ્યક્તિ તમને ઈમેલ દ્વારા આ મહિનાની આખરમાં કોન્ફરન્સમાં આવવા માટે નું આમંત્રણ મોકલે છે. આ કોન્ફરન્સમાં જવાની તમારી ઇચ્છા ન હોય, તો આ ઈમેલ તમારા માટે અગત્યનો નથી. અને તેનો અત્યારે જવાબ આપવો પણ જરૂરી નથી. આમ આ કાર્ય તાકીદનું નથી અને અગત્યનું પણ નથી તેથી તેને તમે ભૂલી જાવ.

ઘણી વખતે એવું બનતું હોય છે કે, ઘણા બધા કાર્યો ખંડ-૧ માં આવે જે અગત્યના હોય, અને તાત્કાલિક કરવા પડે. આ બધા કાર્યો તમે એકી સાથે ન કરી શકો, તે સ્વાભાવિક છે. તેથી તમારા કાર્યોની પ્રાથમિકતાની સૂચિ નિયમિત રીતે કરતા રહેવું તે અત્યંત આવશ્યક છે.

Efficiency

It is very important to have the knowledge and skills of the business you are working in, but along with that, to be successful in the business, it is also very important to have basic qualities like discretion, modesty, decisiveness, punctuality, etc. Also your working style plays an important part in your business success.

Every task that falls within your duty depends on two things in particular. First, the importance of the task and second, the urgency of the task. You can increase your productivity by dwelling on these two characteristics and prioritising your tasks. If you create an agenda according to the importannce and urgency of each task, and implement it, then you can definitely become an efficient person. You can get success in your business as well as in your life more broadly.

As you can see in the table below, the Urgent-Important matrix has two columns and two rows.

There are two columns showing the urgency of a task. The first column is for urgent tasks, which should be done immediately. The second column is for non-urgent tasks which are not necessary at this point in time i.e. it is for tasks that can be done later. The two rows in the matrix show the importance of the work. The first row is for important tasks. The second row is for non important or less important work. Thus, you can prioritize your tasks by classifying them into the most relevant of the four boxes in the matrix.

In Box-1, you can put important and urgent work that you have to do right now. For example a client of your company has given you all the information you need to prepare a report. Now your superior starts chasing you for that report. So at this time of pressure, this important report should be prepared before other tasks and sent to your superior. It very clearly belongs to Box-1. This work is urgent and important, so you should do it now.

If a task is important, but not needed now, it can be classifed as Box-2. For example, undertaking some career planning would naturally be very important for you. But it is not necessary to do it now if there are other more urgent tasks. You put such tasks in the non-urgent part of the matrix. So this task is not urgent but important, so schedule the task and do it when you have sufficient time to complete properly.

Box-3 is for tasks that may be less important but urgent. For example, to reserve a table at a restaurant for your team members to dine today, you inform the restaurant via e-mail of who is attending and copy your colleagues into the email. One of the team members then informs you that he is diabetic. You realise that you will need to inform the restuarant to make the necessary arrangements. You can delegate this task to another member of your team. This work comes in Box-3. This task is urgent but not important to you, so delegate it to a trusted collague to do now.

In Box-4, there may be tasks which do not have any importance and also there is no urgency. Such activities prevent you from delivering the most essential parts of your role. For example, a stranger sends you an email invitation to attend a conference later this month. If you do not wish to attend this conference, this email is not relevant to you. And it is not even necessary to answer it now. So this work is not urgent and not important so you can forget about it altogether.

Sometimes it is possible that many Box-1 type tasks arrive in your inbox, which are important and need to be done immediately. It is normal for you to be unable to do all of these tasks at once. So it is very important to prioritize your tasks regularly.
